After consulting with your fellow travelers on what you would all like to see and do during the tour, create and print out a calendar for the week or month of the scheduled tour. List the days of the week from Sunday to Saturday. Break the calendar further down into hours starting at 8:30 a.m., for example, with breaks during the day for snacks, lunch and dinner. Leave the evenings open for an activity or night entertainment that the group might be interested in attending.
Determine the dates and length of your tour. Do research on the places that you and the group are planning to visit from books or from the Internet and decide on the things that you want to see and do during your tour. Check to see what days the places you are planning on touring are open to the public and find out the cost of admission tickets for budget purposes.
Create a list of all the things you and everyone else would like to do on the tour and since you might not be able to do it all, put the list in order of priority. Estimate the length of each activity -- for example, visiting a museum -- by reading about it in guidebooks, searching on the Internet or consulting with other travelers who have visited those sites.
Consult a map of the area or country of your tour and group the things you want to do by region or area. Grouping the activities by area allows you to economize your time and may ultimately make your tour more cost-efficient.
Pencil in on your calendar the date of your departure and the time you will arrive at your destination. Fill in how much rest time you and the group will need after traveling and remember if you have spent a few hours on a bus or plane you might all need some time to relax before beginning your day.
Add the activities that you have all decided on for each day to the calendar and decide on how much time will be spent at each place. Consider scheduling a free day or some free time for something that may come up that you or the group did not plan for prior to your departure. Complete the schedule and have a wonderful time on your tour.
