How to Be Organized as a Travel Agent

As a travel agent, you are often responsible for a family's big vacation or an entrepreneur's most important business trip. Improve your reputation by being organized and always knowing where your client's information is. Your sales will also improve if you are able to easily find information about a specific trip or package when a potential client calls you.

      Create a filing system to keep track of brochures and package details. This would also include separate folders for car rental information, hotel descriptions and tour operators. You can color-code each type to make it easy to access when someone requests information.

      Keep active folders for each customer either on your computer or in your filing cabinet. Maintain the details of the trip, including flight time, car rental plans and hotel reservations. Keep confirmation numbers for each part of the itinerary. You will need these if you need to make a call on the customer's behalf.

      Maintain a portable box or bag with frequently needed brochures and other sales information. Place specific information in the bag prior to leaving for an appointment. This show of preparedness will improve your potential client's confidence in you and help you make the sale.
