Gather all of the transportation details you need to include on your itinerary including flight departure and arrival times, airport names and addresses, airline confirmation numbers, hotel information and any additional travel (bus, taxi, cruise) information.
Open a word processing or graphics software program on your computer which allows you to combine images and text in rows and columns on a page. Title your itinerary with a succinct name and purpose in bold at the top left corner of the page. Include the location(s) and date(s) for travel beneath the title. Give your file a name and save it often throughout the itinerary creation process so you don't lose your work.
Create a subhead titled "Trip Details." Organize trip details into sub-categories arranged chronologically by date. Include icons on the left side, beneath each date to quickly show what type of travel information is presented for that day. Use a jet icon to indicate a flight, a car icon to indicate a taxi or rental car, a house icon for a hotel and so forth.
Create a column within each sub-category that includes hours along the left-hand side. List the first hour as a few hours before the first travel, lodging or event item appears. Organize icons and accompanying information by time within each sub-category on the itinerary.
Include flight (bus, cruise, etc) numbers to the right of the icon along with where the flight originates and where it ends. Include airport codes in parentheses after city names. Include the carrier name and any transfer information. Create multiple rows within each sub-category for multiple modes of transportation that is executed in the same day.
Create separate rows within each sub-category, by day, for lodging and event information. List contact information, reservation numbers and directions next to each lodging or event entry.
Check your document against your details for accuracy. Spell-check it and print it out on a color printer or email the itinerary to passengers electronically. Take your itinerary with you and refer to it often throughout your trip to stay on time and on task.
